What this calculator does
Staffing ratio is the number of staff relative to the number of units they serve, whether that is patients on a ward, customers in a store, students in a classroom or any other setting where capacity is planned around a fixed staff-to-workload relationship. It is one of the most direct measures of how stretched or comfortable a staffing level is.
The ratio can be read two ways, and both are useful. Staff per unit shows how many staff are available for each person or item being served; its inverse, units per staff member, shows the workload each individual staff member is actually carrying. Which framing is more natural depends on the industry and what a benchmark is usually expressed as.
The formula
Divide the number of staff by the number of units served to get staff per unit. Divide the units served by the number of staff to get the inverse, units served per staff member. The two figures are reciprocals of each other.

When to use it
Checking against a mandated ratio
Some settings, particularly healthcare and childcare, operate under a minimum staffing ratio set by regulation, and this calculator checks a proposed roster against that requirement.
Comparing shifts or locations
The same total staff and workload can be split very differently across shifts or sites, and comparing the ratio at each one shows where coverage is thinnest.
Planning for growth
Working out how many additional staff are needed to hold a target ratio as the number of units served grows keeps a service level consistent rather than gradually eroding.

Questions
What staffing ratio should I aim for?
It depends entirely on the setting: healthcare, education and hospitality all have very different benchmarks, and some are set by regulation rather than choice. Use the ratio that applies to the specific setting rather than a generic figure.
Should the ratio be calculated per shift or across a whole day?
Per shift is usually more useful, since workload and staffing both typically vary through the day. A single daily average can hide a shift that is badly understaffed relative to another.
Is a lower staff-per-unit ratio always worse?
Generally it means each staff member is covering more units, which can be a sign of under-resourcing, but it can also reflect a genuinely lighter workload per unit. Context about what each unit actually requires matters as much as the ratio itself.
How does this relate to FTE?
Staffing ratio uses whatever staff count you enter, whether that is headcount or FTE. Using FTE from the FTE calculator instead of raw headcount gives a more accurate ratio where part-time staff are involved.
